The short answer
Most callers don't wait for a callback. In a 2025 CallRail survey of 1,000 U.S. consumers, 78% said they had given up on a business after an unanswered call, and only 42% leave a voicemail. Clients tell me they call back 15 to 45 minutes later, and by then the caller has usually booked someone else. Missed-call text back or an AI receptionist covers that gap the moment the call is missed.
Why the caller does not wait
Think about how you find a contractor yourself. You search, look at the businesses at the top with the most stars, and call the one you trust most. If nobody picks up, you do not sit around hoping for a callback. You have your own day to get through, so you call the next name.
If you run a small crew, you spend the week in the field. When you are up on a roof, under a sink or talking with a customer, the phone goes to voicemail. That part is normal. The problem is what the caller does after the beep. The same CallRail survey found that 21% of people immediately call another business when nobody answers, and 24% go to online chat instead.
What a late callback actually recovers
Clients have told me they call back as fast as they can, usually somewhere between 15 and 45 minutes after the missed call. Nine times out of ten, that person has already found someone else, or has left a voicemail with a competitor and is waiting to hear back from them.
There's a second problem with the callback. It shows up on their phone as a number they don't know. In a 2020 Pew Research Center survey, only 19% of U.S. adults said they generally answer calls from unknown numbers. A text gives them something they can answer when they get a minute.
A referral will wait for you because they asked for you by name. A stranger who found you on Google usually will not.
Two ways to answer when you cannot
Missed-call text back sends the caller a text within seconds, so they know you saw the call and can reply with what they need. It keeps the conversation open while you finish the job in front of you.
An AI receptionist goes further. It picks up, has a real conversation, answers the common questions and books the appointment on your calendar. It also covers calls that come in after hours, which would otherwise sit until morning.
- Text back: an instant reply, and the caller can explain the job by text
- AI receptionist: answers the phone, asks the right questions and books
- Both put the lead in your CRM, so nothing depends on memory
Is it worth it?
It is not for everybody, and some owners do not want AI on their phone line. The way I look at it, if it captures even one extra job a month, it pays for itself. Your own call log will tell you whether you have the problem: count last month's missed calls from numbers you didn't know, then count how many of those people you actually reached and booked.
Customers notice speed. In Jobber's 2025 survey of 1,001 U.S. home service customers, 96% said response time influences who they hire. If you miss calls, or you get calls after hours, this is one of the easiest fixes there is. Missed-call text back and the AI receptionist are included in Growth Engine and Growth Engine Pro, and Business Foundation can add them; Pricing lists what each plan covers. Questions people ask
How fast should I call back a missed call?
Right away if you can. If you can't, have a text go out within a minute so the caller knows you saw it and can tell you what they need. Clients tell me callbacks 15 to 45 minutes later usually reach someone who has already called another company.
What is missed-call text back?
An automatic text sent to anyone whose call you didn't answer, usually within seconds. It tells them you saw the call and asks what they need, and their reply lands in your CRM with the rest of your leads.
Can an AI receptionist book jobs on my calendar?
Yes. It answers the call, asks the questions you choose and books the appointment on your calendar. It also picks up the calls that come in after hours.
Do you set this up for businesses in Colorado Springs?
Yes. We're based in Colorado Springs, and I set up missed-call text back and the AI receptionist for local service businesses myself. We test calls with you before it goes live. Owners elsewhere get the same setup by phone and video.
