AI consulting and setup

AI consulting for small businesses, set up inside the work you already do.

We set AI up inside your business and teach your team to run it. That means choosing the right tool (ChatGPT, Claude, Gemini or Microsoft Copilot), connecting it to the software you already use, and building workflows for the jobs you repeat: daily customer reports, bookkeeping helpers, day-to-day management. If something you use already works, we connect AI to it instead of replacing it.

Sample AI setup · try it

What the interview found

  • The owner builds a customer update by hand every morning
  • Invoices are matched to jobs one by one at the end of the week
  • The team already uses ChatGPT, each person their own way

The tool that fits

ChatGPTPickedClaudeGeminiMicrosoft Copilot

The team already uses it, so we set up the work version and shared instructions.

The businesses and tasks here are samples that show how a setup runs, not client work or results.

  • Discovery interviews, so the setup fits how your business actually runs
  • ChatGPT, Claude, Gemini or Microsoft Copilot set up for your team, work versions included
  • Day-to-day customer reports that build themselves
  • Plugins and helpers for accounting and bookkeeping
  • Skills and workflows for day-to-day management
  • Training for you and your team on using and running it

What AI integration means for a small business

For most small businesses, AI integration means taking the AI you already pay for, or one good new choice, and wiring it into the work you repeat every week.

We start with discovery interviews: what you do each morning, which reports you build by hand, where the same data gets typed twice. Then we set up the overall workflow, the skills and the connections, and test them with you before you rely on them.

The AI tools we set up

We have set up and used ChatGPT (including Codex and ChatGPT's work tools), Claude (including Claude Code and Claude for work), Gemini and Microsoft Copilot for businesses.

The right one depends on the software you already run, who on the team will use it and what you want it to do. If your business already pays for one, that is usually where we start.

The AI concierge: we set it up for you

The AI concierge is our full build-out, quoted for each company after a strategy call. We set everything up and check that it works for you directly, in person here in Colorado Springs when we can.

Remote team setup and employee training on using AI in day-to-day operations are available as options. Ongoing support is a retainer we agree case by case, because not every business needs one.

Long context is not long-term memory

New AI models advertise context windows of a million tokens, self-hosted ones included. More room is not better recall. A Stanford-led study found models use what sits at the start and end of a long input best and miss what is buried in the middle (Liu et al., 2023). Chroma tested 18 models in 2025 and found answers get less reliable as the input grows, even on simple tasks.

So we don't paste your whole business into a chat. We give your AI a long-term memory: a database of your jobs, decisions, reports and files. The right pieces are pulled in for each task, so any model you use stays on track with everything you've already done.

RAG and agentic RAG, in plain words

RAG (retrieval-augmented generation) means the AI looks up the facts in your own data before it answers, instead of guessing. Agentic RAG goes a step further: the AI decides what to look up, checks what it found and searches again when it needs more.

We run our own company this way. Every AI tool we use reads from and writes to one shared memory database, and we set up the same kind of system for clients. Small, low-cost models, including ones you can host yourself, handle sorting and tagging, so the expensive models only do the thinking.

MCP: one standard way to plug AI into your tools

The Model Context Protocol (MCP) is an open standard Anthropic introduced in November 2024 for connecting AI assistants to the places your data lives: files, business apps and databases. OpenAI and Google have since adopted it.

For a business, that means one connection to your CRM, calendar or database can serve Claude, ChatGPT and the next model too, instead of a custom build for each.

Skills and workflows built for your business

Installing ChatGPT, Claude Code, Codex or a local model is the easy part. The value comes from skills and workflows written for how you work: how you quote, how you report, what your customers ask and what your team does every morning.

Anyone can download the tools. Most people have only typed a few questions into a chat window, and using AI carefully on real business data is a different skill. We set it up, test it with you and teach your team to run it.

Is it safe to let employees use AI with your data?

It can be, when it is set up carefully. OWASP's list of the top risks for AI apps ranks prompt injection first: hidden instructions in an email, file or web page can steer an AI that reads them. The same list warns about giving AI more access than the job needs.

So each person and each AI tool gets only the access its job needs, anything that sends, spends or deletes waits for a person to approve it, and what the AI does is logged.

Backups: local and off site

Once your business runs on a database, that database is the business. Your data, reports and files should follow the 3-2-1 rule: three copies, on two different kinds of storage, with one kept off site.

We set up local and offsite backups for your database and files, and check that they restore.

Connect first, build second

If a tool you use already works, we connect AI to it rather than replacing it. When nothing on the market fits the job, we build the missing piece.

Common questions

More questions owners ask

What does an AI consultant do for a small business?

We find the repetitive work in your week, choose the AI tools that fit it, set them up inside the software you already use and teach your team to run them. Typical first projects are automated customer reports, bookkeeping helpers and workflows for day-to-day management.

Which AI tools do you work with?

ChatGPT (including Codex and ChatGPT's work tools), Claude (including Claude Code and Claude for work), Gemini and Microsoft Copilot. If your business already pays for one of them, we usually start there.

How much does AI consulting cost?

The AI concierge is quoted for each company, because the work depends on your tools and how much you want set up. We scope it on a strategy call before anything is quoted. Ongoing support is optional and agreed case by case.

Do you train our employees?

Yes. We show you and your team how to use and run what we set up, on your own work. In Colorado Springs we prefer to do it in person; remote team setup and training are available too.

Is a million-token context window enough to give AI a memory of my business?

No. Research from Stanford (Liu et al., 2023) and Chroma (2025) found that AI models get less reliable as their input grows, and often miss facts buried in the middle of a long input. A long-term memory works better: a database of your business that the AI searches for the few pieces each task needs.

What is RAG, and does my business need it?

RAG (retrieval-augmented generation) means the AI looks up facts in your own data before it answers. If you want AI to answer from your prices, jobs, policies or past work instead of guessing, yes. Agentic RAG lets the AI decide what to search, check the results and search again.

Can't I just install ChatGPT, Claude Code or a local AI model myself?

You can, and it's a good start. The work is in what comes next: a memory of your business the AI can search, skills and workflows written for how you work, the right access for each person, and backups. That's the part we set up and teach.

Is it safe to let my employees use AI with company data?

It can be, if access is set up carefully. OWASP ranks prompt injection as the top risk for AI apps: hidden instructions in a file, email or web page can steer an AI that reads them. Give each person and AI tool only the access its job needs, require a person to approve anything that sends, spends or deletes, and keep a log.

How should a small business back up its data?

Follow the 3-2-1 rule: three copies of your data, on two different kinds of storage, with one kept off site. Test that the backups restore. This matters more once your AI tools and reports all run on one database.

What is MCP (Model Context Protocol)?

MCP is an open standard, introduced by Anthropic in November 2024 and since adopted by OpenAI and Google, for connecting AI assistants to tools and data such as files, business apps and databases. One MCP connection can serve several AI models, so you aren't locked into one.

Can AI run on our own computers instead of in the cloud?

Yes, for some jobs. Smaller models you host yourself work well for sorting, tagging and searching your own data, and keep that data in house. The bigger cloud models still do the hardest thinking. We help you decide which jobs go where.

Do we have to replace the software we already use?

No. If something you use already works, we connect AI to it. We only build something new when nothing existing fits.
